Privacy Policy

Lux Lanka respects your privacy. This policy explains what we collect when you visit luxlanka.lu or send us an enquiry, why we collect it, and what you can ask us to do about it.
If your enquiry becomes a booking, we’ll need more information at that stage. We’ll explain what we need and why before you give it to us.

What we collect
Through our enquiry form we collect your name, email address, telephone number, country of residence and the content of your message, including whatever you tell us about your travel plans. If you email, call or message us on social media instead, we collect what you send and our reply.
When you visit the site, our hosting provider’s server logs record your IP address, browser and operating system, the page you came from, the pages you viewed and when. We also use cookies, which are covered in our Cookie Policy.
We don’t make automated decisions about you.
Sensitive information
Please don’t include health details in your enquiry unless it’s necessary. Allergies, medical conditions, medication, mobility needs, pregnancy and accessibility requirements are sensitive, and we’d rather collect them later, when they actually matter for planning your trip.
If you do mention something of that kind, we’ll use it only to answer your enquiry, we won’t pass it on without asking you first, and you can ask us to delete it at any time.
Why we use it
We use your enquiry to reply to you, prepare a proposed itinerary and follow up on your travel plans. That’s the reason you contacted us, and it’s the main thing your information is for.
We use server logs to keep the site secure and fix faults, which is a legitimate interest in running a website properly. If you accept the relevant cookies, we also use them to see how the site is used and to measure how our advertising performs.
We send travel ideas and offers by email only to people who’ve asked for them, and we publish guest photographs, reviews and testimonials only with permission. You can withdraw either at any time.
Who we share it with
We don’t sell your personal information.
To build an itinerary and price it, we pass the relevant parts of your enquiry — travel dates, party size, the kind of trip you’re after — to the ground-handling partners, hotels and guides in Sri Lanka who would deliver it. They get only what they need to prepare a quotation.
We also rely on service providers who act on our instructions under written agreements: our website host, email provider, enquiry form tools and newsletter platform.
If you accept advertising cookies, Meta receives information about how you use our site through the Meta Pixel. Meta and Lux Lanka share responsibility for that, and Meta handles requests about the information it holds. Their privacy policy is at facebook.com/privacy/policy.
Beyond that, we share information with our professional advisers where necessary, and with public authorities where we’re required to.
Sending information to Sri Lanka
Preparing your itinerary means sending parts of your enquiry to our partners in Sri Lanka, which is outside the European Economic Area and hasn’t been recognised as offering an equivalent standard of protection.
We do this because it’s necessary to give you what you’ve asked for. You should know that protections there may not match those in the EU, and that pursuing a complaint against a supplier there may be harder than within the EU. For any other transfer outside the EEA, we use standard contractual safeguards, and you can ask us for details.
How long we keep it
Enquiries that don’t lead to a booking are deleted after 24 months from your last contact with us. Enquiries that do lead to a booking become part of your booking file, and we’ll explain how long that’s kept when you book.
Newsletter subscriptions last until you unsubscribe, after which we keep a record of your opt-out for 12 months so we don’t email you again. Photographs and testimonials come down within 30 days of you withdrawing permission. Your cookie preferences are kept for 12 months.
Server logs are held by our hosting provider under their own retention settings.
When the period ends we delete the information or anonymise it permanently.
Cookies
Cookies needed to make the site work are set automatically. Everything else — analytics, advertising and social media cookies — is only set after you accept it in our cookie banner. You can change or withdraw your choice at any time through the Cookie settings link in our footer. Full details are in our Cookie Policy.
Your rights
You can ask us to give you a copy of the information we hold about you, correct anything wrong or incomplete, delete it where there’s a valid reason to, pause our use of it while a question about it is resolved, or send it on to you or another provider in a common format.
You can object to our use of information where we’ve relied on a legitimate interest, and you can tell us to stop sending you marketing at any time, without giving a reason. Where you’ve given permission for something, you can withdraw it at any time.
Email luxlankadevelop@gmail.com and we’ll respond within a month. If your request is complicated we may need longer, and we’ll tell you within that first month if so. We may ask you to confirm who you are first.
If you’re not happy with how we’ve handled your information, you can complain to the data protection authority in Luxembourg or in your own country.
Keeping it safe
We use encrypted connections, limit access to people who need it, keep software updated, hold encrypted backups and require security commitments from our suppliers. No system is completely secure, but if something goes wrong that puts you at serious risk, we’ll tell you without delay and report it to the relevant authority.
Children
Our services are aimed at adults and we don’t knowingly collect information about anyone under 16. If you think we hold information about a child that shouldn’t have been given to us, contact us and we’ll delete it.
Changes
We may update this policy. The date at the top shows when it was last revised, and we’ll let you know if a change is significant.
